Google has clarified that some personal Workspace data may be used to train AI models when users connect it to Gemini Apps or Search services. The update, dated October 16, distinguishes those optional connections from standard Gemini features inside Google Workspace.
Personal Intelligence changes data flow
Google says a Workspace user with a personal account who shares data with Gemini Apps or Search services for Personal Intelligence may have that data processed under those services' separate terms. The data may be used for model training and improvement, according to Google's privacy guidance.
The clarification covers selected data made available through connected services and screen actions, including screenshots. Google's Gemini Apps Privacy Hub also says human reviewers review some collected data to help improve Google's services and machine-learning technologies.
Standard Workspace stays separate
Google says qualifying business, education and public-sector Workspace accounts receive different protections. For those accounts, Gemini features inside Gmail, Drive, Docs, Sheets, Slides, Meet and related Workspace apps do not use customer content to train generative AI models outside the organization's domain without permission. Google also says Workspace content is not used for advertising targeting.
Those protections do not automatically apply when data is shared with consumer-facing Google services. The account type, connected feature and applicable privacy terms determine how the data is handled. As a result, the same email or document may receive different treatment depending on where a user uses it.
Admins face a new boundary
The distinction matters to businesses, schools and other organizations that manage sensitive information. Their Workspace protections may not cover data that an individual shares with a consumer-facing AI service through a personal account or connected app.
Google's guidance places the choice with the user, while organizations may need separate policies for personal accounts, connected apps and screen-based features. The central question is whether the data remains within qualifying Workspace protections or crosses into a service governed by different terms.
